Job Description:
As the Operations Manager at Isteni Group, you will be responsible for overseeing various aspects of our business operations, including diary management, property management, project budgeting, supplier relationships, client interactions, and serviced accommodation management. You will be an essential part of our team, ensuring that our projects, properties, and serviced accommodation are managed efficiently and effectively.

Key Responsibilities:

Diary Management:

  • Effectively manage and coordinate the executive team's schedules, meetings, and appointments.
  • Prioritise and optimise daily activities to ensure productivity and time management.

Booking Views and Attending Views:

  • Arrange property viewings for potential clients or tenants.
  • Attend property viewings as needed and provide relevant information and assistance.

Budgeting for Projects:

  • Collaborate with project teams to develop and manage project budgets.
  • Monitor project expenses and ensure adherence to budgetary constraints.

Property Management:

  • Oversee the management of our property portfolio, including maintenance, leasing, and tenant relations.
  • Ensure that properties are well-maintained and comply with all regulatory requirements.

Building Relationships with Suppliers:

  • Establish and maintain strong relationships with suppliers and contractors.
  • Negotiate favourable terms and agreements to support our projects, property management, and serviced accommodation.

Client Interaction:

  • Serve as a point of contact for clients, tenants, and guests, addressing inquiries and concerns professionally and promptly.
  • Strive to enhance client satisfaction and loyalty through excellent service.

Team Collaboration:

  • Collaborate closely with project managers, construction teams, and property management staff to ensure seamless operations.
  • Foster a positive and collaborative working environment.

Serviced Accommodation Management:

  • Oversee the day-to-day operations and management of serviced accommodation properties.
  • Ensure the accommodation meets high standards of cleanliness, presentation, and comfort to provide an exceptional guest experience.

Guest Relations:

  • Act as a point of contact for guests, handling inquiries, concerns, and requests promptly and professionally.
  • Gather guest feedback and reviews to identify areas for improvement and enhance the overall guest satisfaction.

Check-In and Check-Out Coordination:

  • Coordinate guest check-ins and check-outs, ensuring a smooth process and compliance with booking schedules.
  • Provide necessary information and instructions to guests for a hassle-free stay.

Housekeeping and Maintenance Oversight:

  • Coordinate housekeeping and maintenance staff to ensure all accommodations are cleaned, stocked, and well-maintained.
  • Conduct regular inspections to identify maintenance needs and coordinate repairs as necessary.

Inventory Management:

  • Monitor and manage inventory levels of furnishings, linens, toiletries, and other supplies to ensure availability for guest use.
  • Work closely with suppliers to restock and replenish inventory in a timely and cost-effective manner.

Booking and Reservation Management:

  • Assist in managing bookings and reservations for serviced accommodation, ensuring accurate availability and rates.
  • Coordinate with the reservations team to handle booking amendments, cancellations, and extensions.

Compliance and Regulations:

  • Ensure compliance with all relevant regulations and legal requirements for serviced accommodation, including health and safety standards.
  • Keep updated with industry regulations and adapt policies accordingly.

Revenue and Financial Management:

  • Assist in monitoring revenue, occupancy rates, and financial performance of serviced accommodation properties.
  • Provide input into pricing strategies and promotions to maximise revenue and occupancy.

Marketing Support:

  • Collaborate with the marketing team to promote serviced accommodation offerings through various channels, including online platforms and social media.
  • Suggest and implement strategies to increase bookings and brand visibility within the serviced accommodation sector.

Qualifications:

  • Proven experience in operations management, preferably in the real estate or construction industry.
  • Strong organisational and time-management skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in budgeting and financial management.
  • Negotiation skills and the ability to build and maintain relationships with suppliers.
  • Knowledge of property management principles and practices.
  • Highly detail-oriented and results-driven.
  • Proficiency in using productivity and office software (e.g., MS Office, project management tools).
